With a focus on holistic interior design and Feng Shui, our services transcend beyond traditional design practices. We are seeking a Virtual Assistant to join our dynamic team. This is an exciting opportunity to be part of a creative and collaborative environment that values passion, professionalism, and a commitment to excellence.

About the Position:

As a Virtual Assistant at Holistic Havens, you will play a pivotal role in supporting our team and enhancing overall productivity, with a particular focus on online customer support. The ideal candidate is organized, detail-oriented, and possesses excellent communication skills. You will be responsible for a variety of administrative tasks and play a key role in ensuring smooth business operations, including online customer interactions. A passion for interior design and/or Feng Shui is a plus.

Responsibilities:

  1. Administrative Support:
    • Manage emails, calendar, and appointments.
    • Organize and maintain documentation and files.
    • Conduct research and compile information as needed.
    • Order materials and supplies as needed.
  2. Communication:
    • Serve as the first point of contact for external inquiries.
    • Facilitate communication between team members.
    • Draft and edit correspondence and reports.
  3. Customer Support:
    • Respond to customer inquiries via email, chat, or phone.
    • Resolve customer issues and ensure satisfaction.
    • Escalate complex issues to the appropriate team members.
  4. Task Management:
    • Assist in project coordination and follow-ups.
    • Track deadlines and deliverables.
    • Prioritize and manage multiple tasks efficiently.
  5. Data Entry and Analysis:
    • Input and update data in various systems.
    • Generate reports and analyze data as required.
    • Complete market research tasks as needed.
  6. Meeting Coordination:
    • Schedule and organize virtual meetings.
    • Prepare meeting agendas and take minutes when necessary.
  7. Marketing and Social Media:
    • Execute with website updates and keep digital listings current.
    • Assist with social media, podcast, and newsletter tasks.

Qualifications:

  • Proven experience as a Virtual Assistant or in a similar role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office, Google Suite, and virtual collaboration tools.
  • Ability to handle customer inquiries with empathy and professionalism.
  • Ability to work independently and collaboratively.
  • Excellent time management skills, with the ability to multitask and prioritize effectively.
  • Discretion and confidentiality in handling sensitive information.
  • High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
  • Previous experience in a virtual or remote work environment preferred.
  • Customer service experience is a strong asset.
